AI Document Review Checklist for Real Estate Agents: 12 Checks Before Sharing

By Docstara · Editorial standards ·

A polished AI draft is not necessarily ready to send. Use this free 12-point review to check factual claims, fair housing, private information, deadlines, permissions and the final approval status of listing copy, client updates and transaction explanations.

This checklist is intended for individual agents, brokerage trainers and real estate educators. It can be read, printed and linked to without a Docstara membership. It supports professional review; it is not legal advice or a substitute for local requirements or brokerage supervision.

How to use the checklist

Start with the current approved source information. Review a single draft against all twelve checks. Mark each check Pass, Revise or Not applicable, record what needs correction and rerun the final review after edits. Use the worksheet at the end to keep the process consistent.

Example: A supplied property note says “updated kitchen.” An AI draft says “fully renovated kitchen with brand-new appliances.” The draft adds two claims the note does not support. Revise it to “updated kitchen” or replace it with details actually established by the source.

1. Confirm the source version

Identify the exact property sheet, signed instructions, client notes, contract version, or approved data set used to create the draft. If an offer, price, condition, or schedule changed, restart from the latest information rather than editing an outdated paragraph piecemeal.

2. Check every property claim

Compare every specific description with the supplied property information. Square footage, renovations, amenities, school assignments, lot boundaries, permitted uses and distances can all become unsupported claims when an AI model fills gaps. Remove anything you cannot substantiate.

3. Separate facts from interpretation

Words such as new, turnkey, quiet, safe, best, guaranteed and walking distance may go beyond objective information. Replace unsubstantiated superlatives with accurate descriptions of a documented feature or clearly labeled professional opinion, when appropriate.

4. Preserve conditional language

Keep the distinction between a proposed date and a confirmed appointment, a requested repair and an agreed repair, and an estimated payment and a final figure. AI can make uncertain outcomes sound settled. Recheck every deadline, status and commitment.

5. Check fair housing and audience language

Review listing descriptions, ads and neighborhood narratives for language that could indicate prohibited preferences, limitations or steering. Describe the property and its features rather than whom it is supposedly suitable for. Follow applicable laws, brokerage policies and professional standards.

6. Protect client information

Before sharing information with an AI service, confirm the brokerage permits the tool and that client disclosures, consents, contracts and vendor data-handling terms are appropriate. Remove personal financial, identity and transaction details that the drafting task does not require.

7. Review figures, dates and calculations

Recalculate price differences, percentages, deposits, days, fees and other arithmetic independently. Confirm the correct time zone, year, currency and source period. A confident-looking table is not evidence the calculations or source values are correct.

8. Check client-specific context

Read the draft from the recipient's perspective. Does it answer the actual question and explain the next action? Avoid sending a generic response that ignores previously agreed communication preferences, unresolved concerns or what the client already knows.

9. Keep legal and technical boundaries clear

Do not allow an AI draft to invent legal interpretations, change agreement terms, replace required forms or make licensing, title, lending, inspection or appraisal conclusions outside your professional role. Escalate the specialized question to the appropriate licensed professional.

10. Confirm attribution and permissions

Check rights to photographs, property descriptions, testimonials, market figures and other material. Cite underlying sources when useful, obtain necessary client consent, and remove invented quotes or endorsements. Do not present hypothetical examples as actual client outcomes.

11. Read for consistency across channels

Check that MLS text, a flyer, social caption, website page and client email agree on the important details. A corrected price on one channel does not automatically update the others. Record the current approved version and where it has been used.

12. Assign final review and release status

Identify who owns the final decision. Record the review date, material changes, unanswered questions and whether the draft is approved, needs revision or must not be sent. Do not publish simply because the writing looks polished.
